We are seeking a detail-oriented, tech-savvy CRM & Marketing Automation Coordinator to support our U.S.-based accounting and advisory firm. This role will help manage and maintain our Client Relationship Management system (HubSpot), support marketing automation       activities, and provide data-driven insights to enable smarter business development decisions.

This is a remote position and ideal for someone with strong technical and administrative skills in CRM platforms, marketing technologies, and data management. Familiarity with professional services or accounting firms is a plus.

Responsibilities

CRM Management (HubSpot + Introhive):

  • Maintain and update contact and company records in HubSpot, ensuring data accuracy and completeness.
  • Tag, associate, and segment contacts by industry, service line, office location, and family groupings.
  • Support contact ownership assignment and clean-up in collaboration with the business development team.
  • Audit and deduplicate CRM data regularly to maintain high integrity.
  • Run recurring and ad-hoc CRM reports (e.g., pipeline forecasts, stage-weighted deal values, lead source attribution).
  • Support alignment of Introhive data with HubSpot to enrich contact relationships and insights.
  • Collaborate proactively with the firm’s Data Governance team to address data‑quality issues, align CRM records with governance standards, and implement any required updates or cleanup tasks.

MarketingAttribution & Campaign Support

  • Build and launch email campaigns and basic workflows in HubSpot, tagging assets by campaign and buyer journey stage.
  • Use HubSpot’s attribution tools to support testing and learning around attribution models (first touch, last touch, W-shape, etc.), and help document a process as it evolves.
  • Monitor buyer intent signals in HubSpot, assist with launching quick nurtures or flagging hot prospects for BD, and track engagement outcomes.
  • Collaborate with Finance and Data Governance to align CRM data with revenue reporting and support efforts to build marketing-influenced pipeline visibility over time.
  • Surface data trends and support decision-making by helping track ROI and campaign performance; offer insights that may inform budget reallocation.

 

Reporting & Analytics:

  • Prepare weekly and monthly CRM dashboards for internal stakeholders.
  • Monitor campaign and contact engagement data to support campaign ROI analysis.
  • Help track client engagement by service line or office to identify marketing opportunities.

Documentation & Process Support:

  • Maintain process documentation, SOPs, and data entry standards for HubSpot.
  • Assist with onboarding documentation for HubSpot/CRM training.
  • Coordinate updates and enhancements to templates and workflows in HubSpot.

 

Qualifications

  • 3+ years of experience with CRM systems and marketing automation platforms (HubSpot strongly preferred).
  • Experience working with marketing teams in a support, operations, or administrative role.
  • Strong data entry, data hygiene, and reporting capabilities.
  • Strong English communication skills (written and verbal).
  • High attention to detail and commitment to data accuracy.
  • Comfortable working independently with direction from U.S.-based team members.
  • Familiarity with Introhive, SEO tools, or basic digital marketing platforms is a plus.
  • Knowledge of professional services or B2B environments preferred.

 

WFH TECHNICAL REQUIREMENTS:

  • Minimum Internet Speed: 50-100 Mbps
  • Dedicated Home Office Area: Private, quiet workspace
