As an Administrative Specialist, you will play a crucial role in ensuring the accuracy and consistency of all written materials produced by our organization. Your keen eye for detail and passion for language will contribute to maintaining the highest standards of quality in our content.

Responsibilities

What you will be doing:

Duties will include, but are not limited to:

    • Review, update, and approve client and project requests in STAR Practice Database Manager, ensuring all data is accurate and compliant with firm procedures.
    • Monitor and manage client/project updates submitted through the support portal.
    • Review service agreement frameworks by confirming that projects are properly set up in STAR and fees are correct. Coordinate with Client Managers to set up missing projects and deactivate those no longer covered under agreements.
    • Act as a STAR and firm process champion, promoting best practices for client and project management.
    • Manage client status changes (activation/inactivation), investigate underlying issues as needed, and ensure updates are reflected across all relevant systems.
    • Update clients and projects per requests in the support portal, including mass project clean up, set up new services, and other one-off projects as needed (instructions will vary by project and may need to be completed in a short amount of time)
    • Assist the Resource Management Group with updating approved staff changes in STAR.

Qualifications

  • What you need to succeed

    • 1 – 3 years of administrative experience
    • Detail orientation and the ability to thrive in a deadline-driven environment
    • Strong organizational skills
    • Sense of urgency
    • Ability to enter data accurately, but also utilize analytical skills to review requests and recognize if something is not accurate or requires additional information to process
    • Ability to identify processes and procedures needed and think outside the box
    • After training concludes, be able to work independently
    • Proficiency with technology tools, including Microsoft Office Products: Word, Outlook, and specifically strong Excel skills
    • Associate degree or equivalent, or greater

    Bonus

    • Experience with STAR Practice Database Manager

  • Minimum Internet Speed: 50-100 Mbps
