The Project Set Up Specialist plays a pivotal role in ensuring client projects are created, routed, and maintained with precision. As a member of the Project Set Up team, you’ll review incoming requests from Dynamics to STAR, validate details against firm standards, and act as the operational connector between Service Agreement and Billing so that teams can serve clients confidently and on time. Responsibilities

What you will be doing:

 

Project Setup & Processing

 

· Review and process incoming project requests flowing from Dynamics to STAR, ensuring accurate and proper setup per Pinion’s naming conventions, guidelines, and rules.

· Manage and prioritize multiple request types through the support portal (email changes, address updates, activations/deactivations, etc.), varying from 5 to 100 requests per day.

· Maintain accountability for any changes made—with clear and complete documentation.

 

Collaboration & Communication

 

· Serve as the connecting link between the Service Agreement Team and Billing, ensuring services and projects are configured correctly end-to-end.

· Ask clarifying questions proactively to resolve gaps or inconsistencies; request additional info when a submission is incomplete or inaccurate.

· Communicate professionally with internal staff across the firm via email and chat, especially when guidelines require interpretation.

 

Data Accuracy & Integrity

 

· Validate project submissions follow Pinion’s document standards and rules; flag and correct discrepancies.

· Use analytical judgment to determine when a request is ready to process vs. when it needs more details.

· Ensure data integrity across systems (STAR, Dynamics, InTapp) and related documentation.

· Continuously identify small process improvements or procedural clarifications to enhance quality and throughput.

Qualifications

  • What you need to succeed

    · 1 – 3 years of administrative or operations experience.

    · Excellent English communication skills (written and verbal).

    · Detail orientation with proven accuracy in data entry and documentation.

    · Strong organizational skills and sense of urgency

    · Ability to enter data accurately, but also utilize analytical skills to review requests and recognize if something is not accurate or requires additional information to process

    · Comfortable asking clarifying questions and collaborating across teams.

    · Ability to identify processes and procedures needed and think outside the box

    · Complete hands-on training (approximately 6 months for core basics, with full mastery and minimal supervision typically within ~12 months).

    · Proficiency with technology tools, including Microsoft Office products.

    · Associate degree or equivalent, or greater

     

    Bonus

    · Experience with STAR Practice Database Manager, Microsoft Dynamics, and InTapp.
