The Resource Management Coordinator will provide proactive and detail-oriented workflow within Practice Operations supporting our Audit & Assurance (A&A), Client Advisory & Accounting Services (CAAS) and Tax practices. As a critical point of contact for staff scheduling and project assignments, the Coordinator will play a key role in optimizing resource allocation to align with both business requirements and individual staff career aspirations.

Responsibilities

• Resource Deployment: Efficiently allocate resources by providing stakeholders with insights into available capacity and competencies, helping to resolve any resource conflicts that arise.
• Scheduling Coordination: Lead departmental meetings focused on understanding and addressing resource demands, resolving conflicts, and managing additional scheduling concerns as they arise.
• Resource Monitoring: Monitor the assignment status of resources, adjusting workload as appropriate to manage over- or underutilization of staff members.
• Assignment Transition: Seamlessly coordinate the transition of resources for employees on leave or departing from the firm.
• Forecasting and Tracking: Use state-of-the-art tools and reporting systems to forecast staffing needs, track actual versus planned utilization, and oversee overall headcount.
• Scheduling Analysis: Regularly analyze staff schedules and availability to ensure the most effective resource distribution.
• Reporting: Interpret various reports to identify discrepancies in expected and actual utilization and pinpoint areas with potential for billing improvements.
• Relationship Building: Cultivate and maintain positive relationships with both management and staff, underpinning resourcing strategies while keeping the firm’s skills matrix up to date.

• Project Involvement: Engage in special projects as tasked by the Resource Management Supervisor or Manager.

• Utilization Review: Partner with the Resource Management Supervisor or Manager to critically assess staff utilization rates and headcounts, identifying and recommending efficiency-boosting initiatives.
• Performance Monitoring: Keep lines of communication open with department leaders regarding project performance and relay relevant updates to the Practice Operations leader.
• Project Involvement: Engage in special projects as tasked by the Resource Management Supervisor or Manager.


New Hire Onboarding:
• Training Coordination: Work closely with the firm’s HR department to coordinate scheduling for new hires, training sessions, performance assessments, and other HR-related activities.
• New Employee Onboarding: Onboard new employees, informing them of scheduling operations and the firm’s scheduling policies.
• CPE Onboarding: Help coordinate new hire assignments designed for training and preparation.


CPE:
• Department Compliance: Assist with bi-monthly evaluations for license and yellow book compliance.
• Individual Learning Plans: Assist with meeting goals and obtaining next level readiness as assigned by Supervisor or Manager.
• Event Coordination: Develop and schedule CPE days, lunch-and-learns, drop-in labs for continuing education opportunities.
• Issue Certificates of Completion.

Qualifications

KNOWLEDGE AND SKILLS
• Familiarity with public accounting practices is a strong plus.
• Exceptional time management, prioritization, and analytical thinking abilities.
• Excellent client service skills, with a high level of adaptability and efficiency in managing changes.
• Confidence in engaging with employees at all levels, including senior partners.
• Proficiency in software applications such as Outlook, Excel, and Word; knowledge of resourcing software is desirable.


QUALIFICATIONS
• Bachelor's degree or substantial related work experience.
• Minimum 2-3 years of experience in a professional service setting with project management or HR, or 1-2 years in resource planning/coordination.
